7. Privacy: information and requested features

We process account and invitation details; names, household profiles, and roles you supply; calendar entries and subscription links; uploaded files and forwarded messages; proposed changes; saved places and timing preferences; crew requests and commitments; optional push-subscription information; and operational records used to provide and protect the service. We also record acceptance as described in Section 10.

Hosting, authentication, storage, and server functions use Netlify. Forwarded-email features use Resend. Requested AI schedule extraction uses Google Gemini through the configured service gateway. When you ask the app to read a schedule, relevant text, images, or document contents may be sent for that processing. Optional weather and address or route requests send the relevant location information to Google services. Connected-calendar and inbox features request information from the providers you connect. Browser voice input, notifications, and externally opened map links may also be processed by the browser, device, or external provider under its terms.

We use these data to deliver requested features, manage access, provide support, diagnose problems, and protect the service. This agreement does not permit selling family data, unrelated targeted advertising, or public disclosure of household content. Service providers may process technical information under their own applicable terms; this agreement does not promise that their systems have the same retention settings or guarantees as ours.

8. Privacy: visibility, choices, and children

Access depends on the household or crew permissions you grant. Crew requests and their notes are visible to invited crew members. A crew invitation does not itself grant access to the household calendar. Screenshots, exports, messages, and links you choose to share can leave the app. Avoid unnecessary medical details, identification documents, financial information, or other sensitive content.

You may edit or remove information using the controls available, disconnect optional services, and disable device notifications. Contact the pilot organizer or use the postal contact in Section 1 to request access, correction, an available copy of your data, or account and data deletion. We may verify your identity and authority before acting. These requests are handled manually during the pilot; there is no promise of a self-service export or automatic account deletion. Removing or hiding an event is not the same as deleting every retained copy.

We retain information as needed to operate the pilot and your requested features. After a verified deletion or withdrawal request, we will remove or de-identify information no longer reasonably needed, subject to legal duties, security, dispute resolution, other participants’ legitimate records, and provider-managed backups. We promptly process verified deletion requests and confirm completion in writing within a reasonable period, subject to applicable legal deadlines and legal and record-keeping obligations. We will explain material retention exceptions and any material delay when responding. Acceptance records and the agreed text may be retained as needed to document the agreement. No fixed automatic deletion schedule is promised by this version.

Adult-managed profiles may contain information about children. This agreement is accepted by adults and is not verifiable parental consent for direct use by a child. Before allowing child use for which additional consent or notices are legally required, Provider must supply those notices and obtain the required consent through a separate process. An adult’s checkbox does not replace those requirements. Under-13 logins remain inactive until the required signed parental consent has been reviewed and approved. Younger children receive view-only access. A parent may select view-only or Teen planner access for ages 13–17. Teen planners may add their own plans; changes, cancellations, and removals of existing plans require parent handling or approval. Parents may disable access and request withdrawal of consent and deletion. The separate parental notice explains child-specific information practices; this agreement does not certify regulatory compliance.
